Office 365 Outlook is an app that brings together all your email, calendar events, and files to help you make decisions faster and smarter. That said, the app language doesn't encourage this, using extra words and seemingly useless functions. By cutting unneeded words, providing some that are more descriptive and updating a feature's function, I was able to create language that adds performance and convenience.

Inbox Focused/Other Tabs

Focused Inbox separates your inbox into two tabs, with your most important email on the first and the rest on the second. However, currently "Focused" and "Other" are too abstract and don't convey the importance of one tab over the other. By updating the copy to be more common and provide a better understanding of the benefit, users can know what is actually in each tab.

To improve the speed of switching folders and mailboxes, I eliminated unneeded words that could undermine the audience's intelligence and repeat what they’re already familiar with — specifically changing, Sent Items to Sent, Deleted Items to Deleted and Conversation History to Conversations.

From Conversation History

Conversation History is designed to collect messages from multiple days and folders and display them all together so they are easier to find. But, the user must manually add messages into the folder, creating extra steps and unused features.

To Conversations

I would update the feature to collect messages automatically once the user replies anywhere in the thread. The updated language conveys feature function and showcases the benefit — not losing any more conversations.

Desktop Version

There are a few inconsistencies in the naming of the same features across the mobile and desktop interfaces — specifically, Trash to Deleted and Junk to Spam. So I updated them to match the refreshed mobile interface above. This makes switching between interfaces easier on the user.
